Ordered a new laptop? My handy template to use to contact Dell to get the backup CDs

Mods, I don't mean to sound pretentious, but could this maybe get stickied and/or added to the faq? (under a new title I'm assuming)

As you may know, Dell stopped shipping the operating system cd/dvd and application/driver cds for most of their laptop lineup around July 15th 2005. Dell's workaround for this was that they said you could simply burn a backup of the OS using the Dell provided application that is on the hard drive. Well as some of you found out the hard way, that application is no longer being installed and now you're left with either A) Getting a hold of Dell or B) going an aftermarket route.

Well.... don't waste your $7-$10 clicking on the option for Dell to give you your OS cd. Here's a quick, painless, simple, and FREE way to get all your Dell installed software and OS shipped to you on CD/DVD backup after you've ordered a new laptop (you lucky ones with XPS need not apply since well, you already get that (all of it I'm assuming too).

Anyway, this is just MY experience with Dell over the past month in purchasing 2 i6000 laptops. Your mileage may vary, but hopefully you'll come out ahead.

Quick steps are listed here, I'll list out some email templates to use later on:

1) Purchase Laptop w/o selecting the OS CD Option
2) Once you've received your Laptop's Order # you should start contacting Dell so there won't be any down time if you choose to reformat your PC once it arrives. Off Dell's homepage goto:
Contact Us - > Email Us -> Email Order Support -> No, I would rather send an email to Customer Service.
3) Now that you're at the form, select the following:
Department: Customer Care
Issue Category: Other Issue Not Listed
Fill in your Personal Information
Be SURE to remember to put in your Order Number

Then you can paste something to the effect of what is written below. Let the Email dance begin:

Good day,
I recently placed an online order for a Dell laptop, my order number is XXXXXXXXX. I've been researching around, and it looks as though I will not have any software backup cds shipped with the laptop. Also, I have heard that the application to backup software off the hard drive once the laptop arrives is NO LONGER installed either? From what I've gathered, I need the following CDs:
1) Operating System
2) Application: For Reinstalling Dell Tools System Software
3) Drivers and Utilities
4) Power DVD
5) Sonic Burning
6) ??? Any other Applicable CDs?

Could these please be shipped to me?

My address is
xxx
xxx
xxx

Thank you in advance,
Joe Smith
2) Dell should send you an automated "We're looking at it email", disregard.
3) They might try to send you an automated response guessing at what your issue is. They thought I had a problem burning my cds... so I had to email them again:

Quote:
The automated response does not address my issue.

My issue falls into the "I need CDs shipped to me since Dell is no longer including them with new PCs" category.

Thank you,

Joe Bob.

4) Dell should respond and say the cds are on their way. Usually by second day air.
5) CDs arrive, but curiously Power DVD and Sonic are NOT included. (I don't know why, confuses me too.. just go ask Dell why they can't read)
6) So now you'll have to respond to your ever increasing email chain that you really do want the Power DVD and Sonic (this is of course optional, but who knows... better to have it just in case)
Quote:
Thank you Mr./Mrs. Dell Customer Service Rep XXX. I've received my new laptop and Operating System, Dell Applications, and Drivers backups. However, I DID NOT receive the software needed to play DVDs(Power DVD) nor the software to backup cds (Sonic) that I explained in detail in my original request.

Should I be able to download these applications from Dell or will additional CDs need to be sent out to me?

Thank you,

Joe Bob.
7) Dell should send you an automated "We're looking at it email", disregard.
8) You SHOULD receive another response saying that they new CDs are in the air.

--------------------------------------------------------------------------
If you're wondering what the order(s) will look like in your order status, here were mine:

1) This is the first batch they sent out, this is for a Windows XP Media Center 2005 laptop:
Quote:
1 Kit,Software,Overpack,Windows XP,Media Center05A,DVD,Eng $10.95
1 Service Kit,Operating System WXPPSP2,Resource Compact Disk Applications,Inspiron $10.95

Sub-Total $21.90
Shipping $0.00
Tax $1.86
Total Price $23.76

2) And now the second shipment with Power DVD and Sonic
Quote:
1 Kit,Documentation On Floppy Disk,Software,Powerdvd,5.5 Transactional Line Of Business $10.95
1 KIT,Compact Diskette,MYDVD 5.3,Robinson Nugent,7.1,Low Encryption $10.00

Sub-Total $20.95
Shipping $0.00
Tax $1.78
Total Price $22.73
@ Their inflated price of $46.49, no wonder Dell is trying to keep their hands on their cds! (joking). I was assured that these invoices were for internal use only and to disregard them. You should NOT be charged for this service.

So, there you have it, your mileage may vary, but it's a start.
Yeah, that does work. It's extremely fast too. Within 24 hours of confirmation my CD's were in my hands.(OS, APPS, and DRIVERS)
PowerDVD and Sonic were just sent out today due to slow email response by me.

In general it wasn't smooth for me at first trying to get everything going in motion... but once you actually get in email contact with a guy things move on quickly.
Sweet! Same here, It was fast!
I just tried this, so I'll see how it goes. I'm on step four. Hope it works .
So does this mean that when i place my order, I shouldn't add-on the OS backup CD? They actually include that for free?
Other than the OEM XPro, Sonic CD, drivers and utilities, what else should you get with it?

Correct. If you contact Dell after you order and state that you can't create the OS cd they will ship the OS to you for free.

camelbackcinema, you'll get a very basic setup guide for the OS, the Dell Aps and Drivers just come in a vanilla cd sleave w/o any documentation.

My Sonic and Power DVD are set to arrive Monday the 22nd, so I'll know more tommorow.
You can also get money back from them quite easily. When I purchased my inspiron 6000 and decided to retun it, the lady gave me 2 offers for me to stay- a 50 dollar bag or money back. I didnt agree and returned the laptop, but for those of you who are "thinking of returning it"...lol
post #9 of 243
Okay, I just got an email back stating the following:

Quote:
However, as you require these CDs, I am shipping them to you. I have submited a request to ship the following CDs to you:-

1) Windows XP Professional Service Pack 2
2) Drivers and Utilities CD
3) Dell Tools and Applications CD
4) Sonic, MyDVD 5.3 & RecordNow 7.1 Basic Light Edition
5) Cyberlink PowerDVD

You shall receive these CDs within next 2-3 business days.

You can view the updated status of this dispatch by following the steps listed below...
I checked under order status and it had the correct CDs. It had the prices for them too, so I emailed the rep back asking if the charges apply. So far so good. Fast too.

Update:

Quote:
The $46.10 would be reflecting in your account however it will get reversed. You would also receive an invoice for the above shipment; you do not require to pay the amount. You can ignore the invoice that you receive. Please be assured that your account will not be charged with the amount.
Worked just fine. Thanks for the guide.

Update (8/24):

I recieved the CD yesterday and all of them including Sonic and Power DVD where included. Thanks again for the guide.
yeah... They did not input the dvd or recordnow in my order, but i already have them because they came with my XPS gen 5 desktop... so i'm good as long as I have the OS disk
post #11 of 243
It would seem that Dell has wisened up just a little bit. I received this email just yesterday:
Quote:
Dear Mr. xx,

Thank you for choosing Dell Online Customer Care.

I understand your concern regarding the software CDs and I apologize if there has been any
miscommunication on our part.

Mr. xx, all Dell systems comes pre-installed with all software, drivers and utilities. However,
to encourage environment friendly practices, Dell has discontinued the practice of sending hard
copy Manuals and software CDs of various media with its systems. These are now available as electronic
versions on your system hard-drive for easy access.

The following have been removed from the shipment and replaced by electronic version:

Hard-copy Owner?s Manual is replaced by PDF version. The icon is located on the desktop. You can
also access the use guide online at:

http://support.dell.com/support/syst...&s=dhs&~cat=12

Drivers and Utilities CD ? Corrupted drivers can be restored using the Driver Reset tool or can be
found online at:

http://support.dell.com/support/down...n&s=dhs&~ck=mn

Tools or Application CD ? Free trial versions of applications can be downloaded directly from
vendor websites at no charge. (Examples: AOL, Paint Shop Pro, MusicMatch)

O/S or Recovery CD: The Dell PC Restore Tool replaces the Operating System CD and can be used for
reinstalling the Operating System and factory installed software.

Please be assured that this initiative would also ensure more convenient usage and time saving
practices. However, if at anytime you need the CDs, do get back to us and we will send you the CDs.

If you face any difficulty in locating or launching these utilities on your system, you can always
contact our technical support anytime at:

When responding to me, please use the REPLY function of your e-mail program.
This will keep the SAME SUBJECT LINE of our e-mail.
Otherwise your message may be delayed or lost.
I responded this, so hopefully the CDs will still be sent b/c all I see is Dell trying to save money.

Maybe I'm old fashioned, but I'd still prefer a hard copy if at all possible. It's much nicer to have a CD version when it comes to reinstalling and/or modding something. I still have all of my CDs from my Dimension 8200 and I just had to reuse them when I needed to reinstall Windows. Having the
hard copy also makes it much easier in the event that an internet connection is not available at the time.

Thanks,
Eric

Interesting Eric,

Guess Dell is noticing a loss with all the Second Day Air they're having to waste money on, lol.

Could always use the "I want to upgrade to a different hard drive and would like to re-install the OS, Applications, etc" line.
I think it's just a viable point that I could be somewhere without internet access (though that's rare nowadays) and require the CD backup. Besides, I hate DLing drivers from Dell and keeping it straight which is which. The drivers CD I got with my Dimension is great. I pop it in, it shows me what I have on my computer, I click, it installs.
It depends on which CSR answers your email I think. Because I just got an email from them saying basically "we've installed Dell System Restore on your hard drive and here's how to use it... but since you asked, we'll send the CDs anyway."
Well see if everything is in order in a few days when they're supposed to arrive.
Well here's the latest:

I had a conversation with a Dell phone rep, that went a little like this. Recenetly ordered a 9300 for my brother as a B-day gift.

Dell- Hello(blah blah name, account info, a bit more blah) and your order is processed, the order should arrive within a week or so, depending on the building process.
Me- Ok, so one more time, lets go over whats coming with the notebook
Dell- Blah blah battery, wires, etc
Me- What about backup cds, you know, like in case I need to fix somthing.
Dell- Oh! Well we do not ship backup cds anymore.
Me- Why not?
Dell- Because you can easily go online, and download the drivers from our website.
Me- But what about if I need to format the Laptop?
Dell- As I said, you can go onlin-
Me- Ok, let me try again. lets say I need to FORMAT the entire drive.
Dell- Ok...and..?
Me- ..and when you format the drive, it's blank
Dell- Your point sir?
Me- There is no OS...no Windows, No INTERNET.
Dell- Yes, but as I said, you can go online
Me- (I want to ask, are you really that stupid at this point) and I just said you can't go online
Dell- Well you could do it from someone else's computer no?
Me- no
Dell- and why sir(getting a bit cocky in tone) is that?
Me- because I'd have to download Windows XP illegally, since your not sending it, and Dell does NOT host the ENTIRE image of that cd, nor will they be giving me any reason to sit there, on someone else's computer, and make backups of all the drivers.
Dell- I'm sorry sir, but this is our new policy.
Me- Well, unless you stock the OS and backup cds in the package, I belive I will be terminating this transaction.
Dell- All this for backup cds?
Me- (offically losing it at this point) ok..let me try one more time. If the computer should need to be formated, I need those cds. I'll tell you what, should I get this thing, and need to format, and have to sit on another PC, and burn a bootleg of your windows OS disk, and then do the same for utilites, drivers, and everything else, some of which YOU CAN NOT GET off your site, I will not be happy. Understand that, for a measily 50 cents or so, you can throw me the damned discs, of which you must have a billion copies lying around.
Dell- What proof do you have that we have them?
Me- because you want to make money in the end run, by selling them to people, or having outside sources go on ebay or other sites, and sell them.
Dell- Well that is just not true sir, I have no idea where you would get such an idea.
Me- Well, this is it, either pack those cds in, or I'm cancelling my order.
Dell- (nothing, some clicking, typing and then) Alright, we will ship them, as you have requested it.
Me- THANK YOU(dumbass)

and then I listened to the person thank me for calling, and I did the obligatory goodbye crap.

Holy hell, some Dell phone reps are painfully stupid. Interesting as well, because when I got my I9100, they had no problem giving me those CDs. Though apparently being truthful works(Dell is no doubt wanting to sell these damn cds to you, in case of an "emergency"...also, what idiot doesn't realize that when there is no OS, there is no internet?!)

Oh yeah, I'll post here, if the CDs do in fact come with the thing. Don't get me wrong, I like Dell notebooks, I just think their staff could use some brains at times.

I got my XPS2 and it came with the OS disc(XP MCE) and nothing else, a short phone call later the rest were in the mail, got 5 cds a few days later.

Just got in 40 Lattitude D610s, a couple workstations and a server at work and every single one of them came with all the cd's, 5 total, and some of them even came with extra copies of PowerDVD and the Drivers disc. Oh, and 2 of them came with extra power supplies, and I think I ended up with about 15 12" USB cables(not sure why those came with it)

I think they have blind monkeys in thier packaging dept that just randomly grab crap and throw it into the boxes.
im a Aussie Dell customer who ordered a i9300 two days ago

after reading this thread then looking at my order confirmation (the tech sheet they emailed me with all the pieces that should be arriving) i saw it said something about driver and installation CD's included.

so anyway a quick freecall number to dell, and within a few minutes i was on the end of the line with a dell rep, and i asked her (she had a VERY nice voice too ) if the Windows and all software CD's were included in the box as this will be a work computer and the minute it arrived it will be reformatted - she paused and i heard a few clicks of the mouse - and then she said - "yes sir, ALL windows cds and software disks are included in your dell purchase"

so it must just be you US Dell customers that dont get the cd's off the bat?

:P

Ben.

The difference is one system is a "Home" system and the others are "Business". They expect the average user to buy from the Home store, and the average user doesn't format, the average user restores, hence the restore partition. A lot of people will never need the CDs, so they're cutting costs by not including them at all.

Where with the business systems I think they expect the people using them to either know what they're doing, or have a tech handy who knows what they're doing. And they'll most likely need the CDs at some point, as any good tech is going wipe that Dell crap off as soon as they get the systems.

Based on my (one) experience, and reading the posts on here, they seem to be reasonably happy to give you the CDs if you ask for them... they may make you jump through some hoops first, but you'll probably get them in the end. So they're really packaging the boxes for those 75% of people who are never going to use the CDs.

For me right now I'm only doing this for principle. I paid for the damn XP Home CD, so I want the CD. It doesn't matter that I've already put XP Pro on the laptop from my other CD. I want it because I paid for it. What they should start doing is selling laptops without an OS (but then they can't put on their crapware ), I'd love it if I didn't have to pay money for software I'm not going to use.

^^

THat makes a HELL OF A LOT of sense!!

the 9300 i bought was bought from the business part of the dell website - and was sold to a company, so maybe thats why my CD"s are automatically included?

i tell you tho - selling Laptops WITHOUT software would be bloody awesome!! -

i already have Windows XP
